Spaces

Spaces are the top level of your workspace. Learn the two-step creation wizard, permissions, privacy, starter templates, and custom task ID settings.

What it does

A Space is the top level of your workspace — a project or team area holding its own Lists, Folders, workflows, and settings. Creating one is a two-step wizard: details and permissions first, then a starting set of task statuses.

Who needs it

Workspace owners and admins setting up a new team, department, or client area, and anyone starting a project that needs its own permissions or workflow separate from what already exists.

Why use it

Getting the default permission and privacy right at creation time, and starting from a template instead of a blank status list, saves you from restructuring things later once tasks are already sitting in it.

How it works

A Space represents a team, department, or client — the top level of your workspace, holding its own Lists, Folders, workflows, and settings. Create one from the sidebar's "+ Create new" menu; it's a two-step wizard.

Step 1 — details: pick an icon, name the Space, add an optional description, and set two things that apply to everyone who isn't already an admin:

  • Default permission: Edit, Comment, or View only — what members can do in this Space unless given a different role.
  • Make Private: restricts the Space to you and whoever you explicitly invite.

Instead of building from scratch, click Use Template to browse the Basic system templates and any custom templates your workspace has saved, then continue with that template pre-selected.

Step 2 — workflow: choose a starter set of task statuses — Simple, Marketing Campaigns, Project Management, or Product + Engineering — or click Browse all templates for the full library. Whatever you pick loads into a live status editor where you can rename, recolor, add, delete, and drag-reorder statuses before the Space is created; picking a template is a starting point, not a lock-in.

Once a Space exists, its Task ID settings (from the Space's "..." menu) let you turn on short, unique task IDs like SALES-1:

  • Prefix: up to 10 characters (e.g. SALES, DEV, DESIGN). Leave it blank to disable custom task IDs for this Space.
  • Start index from: the number the next new task's ID counts from.
  • Show task ID in task view: whether the ID appears on the task detail panel.
