Todoist alternative

Todoist alternative: IterDone vs Todoist, when one task has more than one owner.

Todoist is a fast, friendly to-do list, and for one person's day it is hard to beat. Teams hit its edges when a task genuinely belongs to two or three people, when a project grows into the hundreds of tasks, and when someone has to add up the hours. IterDone is the Todoist alternative for that stage: multiple assignees on a task, the same list as a board, table, timeline or Gantt, and a timer on the task.

The switch

A Todoist alternative for teams that outgrew one owner per task

The Todoist complaints people actually post are specific. A task can only be assigned to one person, so a handoff or a pair of reviewers becomes a duplicate task or a comment. Projects with thousands of tasks get hard to work in as one long list. And time still lives in a spreadsheet. IterDone answers the first with several assignees on one task when the workspace allows it, the second with views that group and filter a big list instead of only scrolling it, and the third with a timer on the task and a shared timesheet. Todoist is still the better personal inbox; this is the page for the team case.

What we built instead

How IterDone handles it.

Multiple assignees on one task

A task can have several owners, each shown on the card and in every view, instead of a duplicate task per person. An admin turns on Allow multiple assignees under Admin, then Security, and the picker lets you tick more than one person. It is off until you do, so a workspace that wants one owner per task keeps it.

Big lists you can slice, not just scroll

Filter and group a long list, switch it to a board, table, calendar, timeline or workload, and use the Gantt view, which only draws the rows on screen once a list passes 200 tasks. The point is a project with hundreds of tasks stays workable because you can look at it more than one way. We also seeded a single list with 2,000 tasks and timed it on a development machine: the List view had every row on screen in about two seconds, Board and Table in about three to five, and scrolling the whole list stayed under half a second.

A shared timesheet, not a spreadsheet

Start a timer on the task you are working on and stop it when you are done. The team's hours are a view of entries that already exist, so Friday is not a reconstruction from memory.

Spaces, Folders, Lists for more than a personal inbox

Todoist projects are right for one person's life. A team with clients and several products needs hierarchy and guests scoped to one list: Spaces, Folders, Lists.

Common questions

What people ask first.

Is IterDone a Todoist alternative?

Yes, for teams. If you wanted Todoist for a personal list, stay on Todoist. If you need to assign a task to several people, see the same work as a board or timeline, and track hours, IterDone is built for that. Try the live demo with no signup.

Can I assign a task to more than one person in IterDone?

Yes. Turn on Allow multiple assignees under Admin, then Security, and a task can carry several assignees. Until it is on, a task has one assignee, like Todoist.

Todoist is slow with thousands of tasks. Is there a Todoist alternative for big projects?

IterDone gives a large list more than one shape: filter and group it, flip it to board, table, calendar, timeline or workload, and use Gantt, which draws only visible rows beyond 200 tasks. In our own test, a seeded 2,000-task list showed every row in the List view in about two seconds and in Board or Table in about three to five, on a development machine with no network in between, so treat those as a guide rather than a guarantee for your connection.

Does it have time tracking?

Yes. A timer sits on the task, and the shared timesheet shows everyone's entries. See the time tracking docs.

Can I import from Todoist?

Export a CSV from Todoist and upload it. Task names, due dates and priorities come across in one pass. See the import docs, or try it in the live demo with no signup.
